Privacy Policy
Last Updated: May 27, 2026. Your privacy and trust are paramount. Learn how we collect, use, and safeguard your data.
1. Information We Collect
We collect information directly from you and automatically through your interactions with Easychurch:
- Church Profile Data: Public church name, logo URLs, primary contact email, phone number, and settings metadata.
- User Account Details: Name, login credentials, and roles managed via secure Supabase Auth tokens.
- Knowledge Base Materials: Uploaded PDF sermon transcripts, guides, and crawled URLs stored securely to contextualize AI responses.
- Visitor Conversation Leads: Contact detail captures (emails, phone numbers, names) requested or actions triggered by your active autonomous agents during user engagements.
2. How We Use Your Information
Easychurch utilizes gathered data to deliver the core application utilities:
- Configure, run, and execute actions through your church’s customized autonomous AI agents.
- Submit queries to AI engines (OpenAI, Anthropic, xAI) to generate responses based on your loaded knowledge base.
- Populate your administrator dashboard with message transcripts, logs, and visitor lead sheets.
- Process simulated plans, subscriptions, and integrations.
3. Data Storage and Security
All church records, membership tables, message transcripts, and lead details are hosted inside Supabase PostgreSQL databases backed by robust SSL encryption. Uploaded logos and materials are cataloged via Cloudinary cloud storage solutions. Access is protected by Row-Level Security (RLS) policies requiring verified user claims.
4. Data Sharing and Third-Party APIs
We do not sell, rent, or trade your church or visitor data to third-party advertisers. We share text segments of your conversational prompts and intent parameters with partner Large Language Model (LLM) APIs (including OpenAI, Anthropic, and xAI) solely to execute response generation and action parameters for your agent. Your global knowledge files are not used to train public foundation models.
5. Church Responsibilities
As the administrator of a church account, you act as the data controller for the visitor conversation leads collected by your deployed AI agents. You are responsible for ensuring that you have appropriate consent from your congregation members and visitors before requesting or storing their personal details.
6. Changes to this Policy
We may modify this Privacy Policy from time to time to reflect modifications in our systems or compliance regulations. We will notify you of any structural updates by updating the date at the top of this policy and providing prominent notices inside the administrator dashboard.
7. Contact Our Privacy Officer
If you have questions regarding data storage, backups, or removal requests, please reach out to our privacy officer in Atlanta at privacy@easychur.ch.
